STANDARD ADMINISTRATIVE PROCEDURE
Requesting No-Interest Apparatus Loans from City Council

- The first step of the process for securing a no-interest apparatus loan from City
Council is to compose and submit a request letter. Such a letter should state the
following:
- The situation with the vehicle being replaced (eg, maintenance problems, age, whatever);
- How much the new vehicle costs with or without a trade;
- How much the corporation intends to pay;
- How much the corporation wants to get in the loan;
- How the corporation want to pay back the loan (ie, number of years, amount per year,
etc);
- When the corporation wants to start the payback (usually one year after securing the
loan).
- Recommended repayment periods are:
- Ambulances: 3-5 years
- Crash trucks: 7-10 years
- Address the letter to:

- Allow 4-6 weeks for processing by the VBDEMS Director. Do NOT sign a contract
until the loan is approved. City Council has never denied a recommendation from the
VBDEMS Director, but the time element may be an issue. It takes longer than expected
to get the loan through Management Services.
